Fleet ownership cost: vehicles, utilisation and downtime

Arithmetic examples explain the method; enter current prices and your own operating assumptions.

Start with observed utilisation

Use your kilometres per vehicle and days in service. Separate vehicle types and duty cycles; a city delivery vehicle and an intercity passenger vehicle can have different energy use and maintenance requirements. Keep fleet size, holding period and financing consistent when comparing alternatives.

Include the cost of keeping vehicles available

Add driver costs, energy, insurance, maintenance and planned replacement. Model downtime from operating records, including replacement rental or lost contribution where appropriate. Avoid counting both lost revenue and the same replacement service cost without explaining the overlap.

Compare cost per km and sensitivity

An illustrative ₹14 lakh net lifetime cost over 200,000 km equals ₹7/km. If lifetime utilisation falls to 150,000 km with that cost unchanged, it becomes ₹9.33/km. Actual costs also change with kilometres. Test low utilisation, higher fuel prices, unexpected maintenance and weaker resale in separate scenarios.

Make replacement decisions explicit

Compare keeping the existing vehicle with replacing it over the same future period. The price originally paid is a sunk cost; today's resale value, future running costs and the replacement's capital cost affect the decision. Use the fleet calculator's editable assumptions and export a report documenting the scenario.

Method: total cost = acquisition + finance and running costs − resale. The calculator shows and lets you edit its assumptions before using them.
